Statements, reminders and age analysis for businesses that sell on account.

Debtors, Statements & Collections, in short
POSly's debtors tools are for businesses that sell on account. They send monthly statements and payment reminders by email or WhatsApp, show who owes what in an age analysis, and put accounts on hold so staff can't keep selling on credit to a customer who hasn't paid.
What changes on day one.
“Statements go out late, so payments come in late.”
Statements are scheduled monthly and sent by email or WhatsApp, with a log of what went where.
“I only notice an account is 90 days overdue when it's too late.”
Age analysis shows current, 30, 60, 90 and 120-plus day balances for customers and suppliers.
“Staff keep selling on credit to customers who haven't paid.”
Put an account on full or partial hold. Laybys and discounts can be blocked while it is on hold.
“Payments get allocated to the wrong invoice.”
Where switched on, Pay Due Amount pays the oldest eligible invoices first. A non-card payment above one invoice's balance settles that invoice and keeps the excess as account credit; card overpayments are refused. Existing credit is used only when selected and is applied oldest-first to open invoices, skipping held invoices.

Common questions.
Which sales qualify for a settlement discount?
Eligible final sales to customers with applicable settlement discount rates can qualify; this is not limited to sales bought on account. Held invoices and opening balances do not qualify. By default, the discount is calculated on the portion of the invoice being cleared, subject to the customer's configured rates and payment date.
Can unpaid opening balances appear in customer age analysis?
Yes, when switched on per business. Unpaid opening balances are included in customer balances and age analysis, and lump payments clear the opening balance before later invoices. Opening balances do not earn settlement discounts.
Can POSly send customer statements on WhatsApp?
Yes. Monthly statements can be scheduled and sent by email, WhatsApp or both, and every send is logged.
Does POSly do age analysis?
Yes. The age analysis shows balances by current, 30, 60, 90 and 120-plus days, for customers and for suppliers, with CSV export.
Can I stop staff selling on credit to customers who haven't paid?
Yes. Put the account on full or partial hold, and where switched on, laybys and discounts can also be blocked while it is on hold.
How are customer payments allocated to invoices?
Where switched on, Pay Due Amount pays eligible invoices oldest-first. A non-card payment above one invoice's balance settles that invoice and keeps the excess as account credit; it does not automatically pay other invoices. Card overpayments are refused. To use existing credit, staff choose Account Credit and the amount; it pays open invoices oldest-first and skips held invoices, rather than necessarily paying the invoice currently open.
Does POSly chase overdue accounts?
Yes, where it is switched on. Payment requests and WhatsApp reminders go out automatically based on each customer's payment terms.
Can statements be open-item or balance-forward?
Yes. Monthly statements can be scheduled in either style and sent by email, WhatsApp or both.
