Questions owners ask about POSly.

Straight answers about what POSly does, what it costs, what you need and what is still coming.

The basics

What is POSly?

POSly is a point of sale and business management system built in South Africa for retailers, chains, wholesalers, restaurants and repair shops. It runs the till, stock, purchasing, branches, customers, laybys, WhatsApp messaging, debtors and reports in one system.

Who is POSly for?

POSly is for South African businesses that sell over a counter or on account: independent shops, retail chains and franchises, wholesalers and distributors, online sellers, restaurants and repair shops, from one till to many branches.

Does POSly work everywhere in South Africa?

Yes. POSly runs in the browser, so it works anywhere in South Africa with an internet connection. Demos and onboarding can be done online, so it does not matter which province you are in.

Is POSly built for South African tax and trading?

Yes. POSly handles 15% VAT with inclusive or exclusive pricing, VAT-ready tax invoices, a tax report for your VAT returns, laybys, trade accounts and statements, and prices in rand.

Switching and setup

Can I bring my products and customers from my old system?

Yes. Products, costs, opening stock, customers and suppliers can be imported from CSV files. Bring a product file to the demo and we will show you your own products in POSly.

What hardware do I need?

A computer, laptop or tablet with a modern browser. POSly works with receipt printers, barcode scanners and label printing, and can integrate with FNB card machines through Transaction Junction, set up per till. We confirm your hardware during the demo.

How much does POSly cost?

POSly is priced on a quote, based on your stores and locations, terminals, the modules you need, any integrations, and onboarding and data import. Book a demo and we will scope it with you.

Do you help with setup and training?

Yes. Onboarding and data import are scoped as part of your quote, so your team starts with your own products, customers and settings in place.

Day to day

Does POSly work during load-shedding?

POSly needs an internet connection today, so most shops keep the router and till on a UPS or inverter. The newer till keeps the cart safe if the line drops and never creates a duplicate sale on retry. A desktop till app that keeps trading without internet is in development.

Can POSly send receipts and statements on WhatsApp?

Yes. Where those tools are switched on, receipts can be sent as a PDF on WhatsApp or email from the newer till, and monthly customer statements and payment reminders can go out on WhatsApp, email or both.

Can POSly run more than one branch?

Yes. POSly runs many shops and warehouses in one business, with transfers that the receiving branch must accept, branch comparison reports and staff limited to their own branch.

Does POSly connect to Takealot and WooCommerce?

Yes. POSly prepares Takealot loadsheets, maps categories and keeps Takealot stock in step, and connects to WooCommerce for products, stock, customers and web orders. Importing sales orders from Takealot is planned on the roadmap.

Your data

Is my data safe?

Your data is backed up offsite with encryption, with alerts if a backup fails. Staff only see what their role and branch allow, and sales, stock, prices, cash and user activity are logged.

Can I get my data out?

Yes. Reports and lists export to Excel, CSV or PDF, so your figures are never locked in.

What is Posly Intelligence?

Posly Intelligence lets you ask questions about sales, debtors and, where switched on, customer and supplier screens in plain words. Answers use your POSly data locally first. Where external AI is configured, customer or supplier names and business summaries may be sent to the provider.

By feature

Can POSly sell fixed and build-your-own combos?

Yes, when switched on per business. A fixed virtual combo contains predefined component products; for a configurable combo, the cashier chooses the items at the till. Sales deduct the component products rather than treating the virtual parent as separately held stock.

More on Point of Sale
Does POSly handle laybys?

Yes. Laybys are part of the till: deposits, minimum payment percentages, instalments, balances and per-item refunds, all reflected in stock and reports.

More on Point of Sale
Can POSly send receipts on WhatsApp?

Yes. On the newer till, which is switched on per business, the receipt can be sent as a PDF by WhatsApp or email straight after the sale, instead of or as well as a printed slip.

More on Point of Sale
Does the till work on a tablet?

The newer till layout, switched on per business, is built for desktops, tablets and handhelds. POSly runs in the browser, so there is no special till computer to buy.

More on Point of Sale
Can I charge trade customers a different price?

Yes. Selling price groups hold different prices for the same product, such as trade and retail. Each location has a default group, and the till lets staff pick a group when a business has more than one.

More on Point of Sale
Can I share an invoice with a customer as a link?

Yes. Every invoice can be shared as a secure link, so the customer can open it without an account.

More on Point of Sale
Can staff give discounts without approval?

Only if their role allows it. Permissions decide who can change a price or give a discount, and sensitive actions such as voids and refunds can require a manager PIN or password, with the approving manager recorded.

More on Point of Sale
Which card machines work with POSly?

POSly integrates with FNB card machines through Transaction Junction. Each till can be linked to its own terminal. Other card machines can still be used, with the card payment recorded on the till.

More on Payments & Cash-Ups
How does the cash-up work?

At close, staff count the drawer by denomination. POSly compares the count with what the sales say should be there, and asks for a note if the two differ.

More on Payments & Cash-Ups
Can a customer pay with more than one method?

Yes. One sale can be split across cash, card, a second card, cheque, bank transfer and up to three custom payment methods, and a payment can be added later.

More on Payments & Cash-Ups
What happens if the card machine can't confirm a sale?

Where it is switched on, a manager can approve an offline card sale and the slip reference is recorded against it. Otherwise the sale can be set to wait for the card machine's confirmation.

More on Payments & Cash-Ups
Can I reconcile card payments per till?

Yes. Card payments are reconciled per register, and a card payments report lists them.

More on Payments & Cash-Ups
Who is made-to-order for?

Printers, signage and uniform suppliers, furniture makers and any business that takes a deposit before producing or customising the item.

More on Made-to-Order
When is stock deducted for a made-to-order job?

When the order reaches fulfilment, not when it is taken, so your stock counts match what has actually left.

More on Made-to-Order
How are deposits handled on custom orders?

The deposit is recorded against the order and carried into the final sale as part-payment.

More on Made-to-Order
Can I attach artwork or proofs to an order?

Yes. Files such as artwork and proofs are attached to the order and stay with it through every stage.

More on Made-to-Order
Is made-to-order switched on for every business?

No. It is switched on per business when you need it, and you define your own stages.

More on Made-to-Order
When will the offline till app be available?

It is in development and will be marked live on this page when it is released. Until then POSly needs an internet connection, and the newer till keeps the cart safe if the line drops.

More on Offline Till
What happens today if the internet drops during a sale?

On the newer browser till, switched on per business, the cart is kept when the connection drops and a retry never creates a duplicate sale. Finishing the sale still needs the connection back.

More on Offline Till
Will the offline till work with a card machine?

The planned desktop till is being built to record cash and standalone card-machine sales while the internet is down. It is not available yet.

More on Offline Till
How will sales made offline reach POSly?

The planned desktop till will sync each till automatically when the connection returns, with stock deducted exactly once.

More on Offline Till
How is virtual combo availability calculated?

When virtual combos are switched on per business, fixed-combo quantities show how many can be made from component stock. Configurable-combo availability depends on the choices made. The product view shows availability per permitted store, and insufficient physical component stock can still prevent a sale.

More on Stock Control
Can POSly track serial numbers and expiry dates?

Yes. POSly tracks serial and IMEI numbers, expiry dates and lots, and reports on stock that is close to expiry.

More on Stock Control
How do stocktakes work in POSly?

Count directly in POSly or import a count file. Variances are captured and adjusted with a reference, and the stock history shows every change since.

More on Stock Control
Can POSly show which stock isn't selling?

Yes. Stock ageing shows what has not moved and what it is really selling for, so you can see the money sitting on your shelves.

More on Stock Control
How do I know when to reorder a product?

The replenishment view shows days of cover and a suggested reorder quantity for each product, based on your own sales.

More on Stock Control
Can I see why a stock figure changed?

Yes. The stock history logs every movement with who, when and why, and automatic checks flag stock records that don't add up.

More on Stock Control
Can I print barcode labels?

Yes. POSly prints barcode labels for your products, with your own label settings.

More on Stock Control
Does POSly create purchase orders for me?

POSly suggests what to reorder based on sales and supplier lead times. You review the suggestion and create the purchase order from it with one action.

More on Purchasing
Can I record short or damaged deliveries?

Yes. Missing or damaged items are captured at goods-in when the box is opened, and unfulfilled orders stay visible until they are resolved.

More on Purchasing
Can I see what I owe each supplier?

Yes. Supplier ledgers show amounts due, and the payments you make are recorded against them.

More on Purchasing
Can I set a purchase budget per store?

Yes. Each store can have a purchase budget, which is checked when an order is captured, with a budget report for head office.

More on Purchasing
Can I buy from a supplier in another currency?

Yes. Purchases can be captured in a foreign currency with an exchange rate.

More on Purchasing
What is the IBT Waiting Room?

It is where inter-branch transfers wait until the receiving branch confirms what arrived. Stock is never silently lost between branches: it is either on a shelf, in transit or reported as a discrepancy.

More on Multi-Store & Transfers
What happens if a branch receives less stock than was sent?

The receiving branch accepts the transfer with quantities checked in the IBT Waiting Room. Short counts and rejections are logged and reported, not quietly written off.

More on Multi-Store & Transfers
Can branch staff see other branches?

Only if you allow it. Staff can be limited to their own branch, while managers and head office see across all of them.

More on Multi-Store & Transfers
Can I compare my branches?

Yes. Branch comparison and per-location reports put every branch side by side, with sales projections against a monthly target.

More on Multi-Store & Transfers
Can POSly suggest which branch should get stock?

Yes. Stock Allocation grades your branches, estimates lost sales and drafts a transfer for you to review before it is sent.

More on Multi-Store & Transfers
Can WooCommerce combo orders carry component choices into POSly?

Yes, with compatible website setup and combos switched on per business. WooCommerce combo orders carry their component choices into POSly and deduct the chosen items from the supplying stores. We confirm the website setup before enabling this workflow.

More on Online Store
Does POSly work with WooCommerce?

Yes. POSly connects to WooCommerce with its own store plugin. It is set up per business, so we confirm your website setup before switching it on.

More on Online Store
Is stock reserved when someone orders on my website?

Yes. WooCommerce reserves the stock at checkout, and it is taken from the right store when the order is finalised in POSly.

More on Online Store
Can customers collect web orders in store?

Yes. Web orders can be set up for collection in store, and staff see them in POSly.

More on Online Store
Can I refund part of a web order?

Where it is switched on, customers earn and use the same points online and in store, and they can sign up at your website checkout.

Takealot. The connector prepares your catalogue, maps categories and keeps Takealot stock in step with POSly, with sync logs and a connection test.

Yes. Every sync is logged and exportable, and a connection test and dashboard show the link is healthy.

More on Marketplaces

More on Marketplaces
Are Amazon.co.za, Makro, Loot and Leroy Merlin integrations planned?

Yes. They are planned integrations on the roadmap, not live yet. Each will connect through the marketplace's own seller API, and customer demand decides which comes first.

More on Marketplaces
Do I need a separate product list for each marketplace?

No. Your products and stock stay in POSly, and the Takealot connector builds its listings from them.

More on Marketplaces

More on WhatsApp
What happens when a customer asks to stop receiving messages?

Opt-outs are kept on a suppression list, so that customer is not messaged again.

More on WhatsApp
Which sales qualify for a settlement discount?

Eligible final sales to customers with applicable settlement discount rates can qualify; this is not limited to sales bought on account. Held invoices and opening balances do not qualify. More on Debtors & Statements
Does POSly do age analysis?

More on Debtors & Statements

Yes. Put the account on full or partial hold, and where switched on, laybys and discounts can also be blocked while it is on hold.

More on Debtors & Statements
How are customer payments allocated to invoices?

Where switched on, Pay Due Amount pays eligible invoices oldest-first. A non-card payment above one invoice's balance settles that invoice and keeps the excess as account credit; it does not automatically pay other invoices. Card overpayments are refused. To use existing credit, staff choose Account Credit and the amount; it pays open invoices oldest-first and skips held invoices, rather than necessarily paying the invoice currently open.

More on Debtors & Statements
Does POSly chase overdue accounts?

Yes, where it is switched on. Payment requests and WhatsApp reminders go out automatically based on each customer's payment terms.

More on Debtors & Statements
